About this Job

Overview

YFP seeks a Client Service Associate, who provides support to a Financial Planner and a Lead Planner to further enhance client satisfaction. Other details about this position include:

  • W-2 position
  • Hours: 40-45 hours per week w/ flexible schedule
  • Direct Reports: 0
  • Reports to: Lead Planner
  • Location: Virtual
  • Start Date: Immediately  

Responsibilities

In this role, your main task is to support the financial planning team and client relationship with regard to the financial planning process. This includes, but is not limited to, the following:

  • Coordinate client meetings, including assisting the Financial and Lead Planner in meeting preparation and post-meeting tasks
  • Attend client meetings, where applicable, take notes and update and share meeting agendas, presentations, and worksheets
  • Build and nurture the client relationship
  • Take phone messages, check voicemails and relay messages to the appropriate team member
  • Provide excellent client service by handling and triaging all incoming client requests
  • Monitor client account activity, research and resolve issues, and follow through to ensure client’s needs are met
  • Make proactive use of technology to streamline client interactions
  • Maintain electronic files, via Google Drive
  • Document client notes, milestones, and other important dates into the CRM that will assist in future client interactions
  • Track client scheduling and follow up with clients
  • Assist with the billing process
  • Log and send client gifts and thank you cards
  • Help prepare and review new account paperwork to ensure documents are complete and in good order
  • Help track incoming rollovers, investment funding, and transfers to ensure that all applicable accounts moved as expected
  • Update and maintain office procedures
  • Run reports and maintain key performance indicators (KPI)
  • Help to triage IT issues
  • Support the firm’s initiatives, assist with any company-wide projects or activities, and attend functions, as needed

Requirements

  • 1-3 years of experience in financial services, client service, or administrative support
  • Comfortable with technology (note: YFP provides an Apple Macbook Air): Zoom video conferencing, Google Suite (Gmail, Calendar, Drive, Docs, Sheets, Slides), eMoney, Wealthbox CRM, Docusign, AdvicePay
  • Exceptional client service skills
  • Willingness to continuously learn and accept feedback
  • Ability to maintain confidentiality and adhere to company policies and procedures
  • Ability to be productive in a remote working environment with minimal supervision, manage competing demands and work with frequent change, delays, or unexpected events
  • Position requires a high level of confidentiality
  • Comfortable working in a company with a flat organizational structure transitioning from a startup phase to a scale-up phase
  • Excellent internet connection
  • Suitable home office environment (quiet, professional backdrop)
  • Travel: possibly 1-2 trips per year
